In Case You Missed It: HR Workday Summer Recap

Over the past few months, Human Resources has been busy implementing several key updates in Workday to improve efficiency and user experience.

Here’s a quick look at what’s already live:

June

  • Change Job: Phase 1 (6/26/25): The Change Job business process was streamlined to make it easier for people leaders to use. This update reorganized the data and fields, showing only the most essential information, and a new sidebar displays an employee’s current information as changes are being made. Job aids found on the Administrative Resource Center have been updated to reflect these changes, including the Change Job Details job aid.
  • PCA/PCT Employee Unions (6/26/25): New functionality was implemented to set up and support the PCA and PCT employee unions.
  • Campus HR Partner Dashboard: This dashboard centralizes needed data, transaction information, reports and resources into a single tool for the Campus Unit HR team.

July

  • Termination Optimization (7/1/25): Quick tips and updated notifications have been implemented to the Termination Optimization business process to make it more user-friendly.
  • Name Pronunciation (7/15/25): Employees can now add their audio and/or phonetic name pronunciation to their profiles.
  • Merit Process: Completed the FY25-26 merit process. Refer to Workday Notifications for Merit Increases.

August

  • Ohio State Wexner Medical Center Nursys Integration (8/25/25): Workday is now integrated with the Ohio NURSYS system to automate credentialing.
  • 403(b) After-Tax and After-Tax Roth Conversion Process: Implemented the new after-tax contribution and after-tax Roth conversion option available as of Sept. 1 to eligible employees within the 403(b) supplemental retirement plan.
  • Talent Acquisition Notification Enhancements: Reviewed and updated notifications across all Talent Acquisition business processes.

Other Implementations and Enhancements

  • New Travel Vendor Implementation: Completed all tasks and integrations for the new travel vendor, Anthony Travel, including a new integration with Crisis24.
  • Ohio State Wexner Medical Center Job Posting Enhancements: Completed integration changes required for the new vendor to enhance job posting searches for external applicants.
  • Workday Everywhere Implementation: The Office of Technology and Digital Innovation launched a new tool that brings essential Workday features right into Microsoft Teams. Refer to Access Workday Faster—Right from Microsoft Teams.
  • Workday Profile Photos Implementation: Employees can now add a photo to their profile to personalize it and support a welcoming and professional digital environment. Refer to Put Your Best Face Forward: Add or Update Your Workday Photo.

The Ohio State University has revised the Drug-Free Workplace Policy, 7.30 to further clarify safety and standards across all work environments, including remote and on-call locations. Key changes include updated procedures for reasonable suspicion testing, new guidance on prescription drug accommodations and refined definitions.
