New Manage Absence Experience in Workday

New desktop and mobile experiences in Workday now provide a more efficient and user-friendly approach to viewing and requesting time away from work. Manage Absence, replacing the current Absence worklet for employees, reduces clicks, enhances visibility and makes essential absence-related tasks easier to find.

Whether you’re planning a vacation, scheduling a personal day, or managing a leave of absence, these improvements are designed to simplify the process and provide you with the information you need quickly and easily.

Key improvements with the new Manage Absence experience:

  • Fewer Clicks: Enjoy quicker access to your absence calendar and interactive balance details, minimizing the navigation needed to stay informed.
  • Flexible View Options: Toggle between different request views, such as calendar and list formats, allowing you to visualize your absence information in the way that best suits you.
  • Integrated Actions: Access essential absence tasks directly within the calendar via an “Actions” dropdown. This includes the ability to “Select Date Range” for requests and initiate a “Request Return from Leave of Absence” without navigating to separate pages.
  • Real-time Balance Insights: When submitting a new absence request, you’ll now see both the “Available Balance” and the “Remaining Balance” dynamically calculated. This provides immediate clarity on how your request will impact your overall time off.
  • Convenient Micro Calendar: A new “Request Absence” micro calendar is accessible by search, allowing users to initiate time off requests without leaving their current page.
  • Mobile Alignment: The Workday mobile experience has been updated to mirror the desktop functionality more closely. Workers can now request time off and leave directly within the mobile Absence calendar worklet, providing consistent experience across devices.

People leaders will also see notable enhancements designed to streamline team absence management, offering better oversight and the ability to assist their employees more efficiently.

Key improvements specific to People Leaders:

  • Team Calendar Access: People leaders can now navigate directly to their team’s absence calendar view from their own absence calendar, offering a centralized overview of team time off.
  • Simplified “Request on Behalf Of”: People leaders gain a convenient “Switch Worker” button within the absence interface, enabling them to easily make absence requests for their employees without needing to navigate to individual profiles.

Job aids found on the Administrative Resource Center have been updated to reflect the new experience, including the Request Absence job aid containing a link to a new Absence BuckeyeLearn course.
