Manager resources for onboarding new employees

Managers play an important role in guiding new employees as they pursue successful and fulfilling Ohio State careers. If you are a manager onboarding a new employee, there are many resources you can leverage to welcome and transition your new team member.

Manager Onboarding Setup in Workday

In Workday, managers can personalize a welcome message for new team members, as well as provide helpful contacts and people for the new employee to meet. In your Workday inbox, you will receive an “Onboarding Setup” notification that prompts you to customize these items.

If the manager does not customize the message within one day of receiving the notification, Workday will automatically send the general template message to the employee. If you want to personalize this information, make sure to complete and submit the task the same day it is received in your Workday inbox. Once it moves forward, it will launch important onboarding tasks for the new hire. Review the Onboarding Setup job aid for more information on how to use the onboarding setup Workday feature.

New Hire Workday Onboarding Tasks

New employees have tasks to complete in Workday, such as updating personal data and information, completing Form I-9 employment verification, and making elections for taxes, direct deposit and benefits.

By fall 2023, Workday will send automatic alerts to new employees and their hiring manager for Form I-9 completion. The alerts will remind managers and employees about outstanding Form I-9 requirements that have not yet been completed. Employees will also receive an automated reminder regarding the outstanding tasks in their inbox until all have been submitted. New Employee Checklists

Guides are available for managers, new employees and new student employees to support successful onboarding at Ohio State. These web pages outline important steps to complete at various points in the new employee’s onboarding. Follow the guide to assist new employees in getting information they need to be set up for a successful transition.

New Employee Orientation

All new faculty and staff attend a virtual orientation on the morning of their first day to welcome them. The employee gets an overview of Ohio State values and the many opportunities here. They can also attend a benefits overview webinar following the virtual orientation. Review the orientation information and consider this schedule as you plan their first day and week.

Workday Notifications for Merit Increases

Merit notifications are being provided via Workday for the 2025 fiscal year to all Ohio State employees who receive a merit base pay increase and/or merit lump-sum amount. Your merit notification will specify if you are receiving a base pay increase, a lump sum increase or both. If you are not receiving a merit increase this year, you will not receive a notification.

A new benefits and pay dashboard in Workday now makes it easier to access your most important benefits and pay information in one place. The new dashboard, called the Benefits and Pay Hub, combines the previous Pay and Benefits apps with more comprehensive details about your compensation history, recent paychecks, health benefits, and more.

Open Enrollment, the annual opportunity for employees to evaluate their benefit options and make elections for the upcoming year, ended November 15, and eligible faculty and staff can now view their enrollment summary in Workday.

Fourth Quarter Reminder for Lifestyle Spending Account Claims

Ohio State’s Lifestyle Spending Account reimburses employees up to $125 quarterly for eligible expenses related to health, fitness, family, emotional and social wellness. The fourth quarter ends December 31. Employees have until January 15, 2025, to submit a claim for eligible expenses incurred October 1 – December 31. Unused LSA funds do not carry over.
