A guide for new student employees

Before You Start

Congratulations on accepting your new opportunity at Ohio State!

Update Personal Information

  • Update your student personal data information in BuckeyeLink.
    • Personal Information is required to be collected for taxes, state and federal law. Failure to complete or update this information in a timely manner may result in delayed pay or incorrect taxes or benefits.
    • As student employees your Legal and Preferred Names; Home Address; Date of Birth; U.S. citizenship status all must be entered and updated in BuckeyeLink.
    • Job aids for making any necessary updates can be found in the Buckeye Link reference guide under General Tasks.
  • Verify your social security number and TIN in Workday. If your information is not in Workday please contact the Registrar’s Office.

Parking

Technology

  • Set up your Ohio State digital identity, including email address and BuckeyePass authentication after receiving confirmation that you are established in the HR System. By establishing your digital identity, you will have access to your Workday inbox, Ohio State Compass and other university websites.

Complete Onboarding Tasks

  • Go to your Onboarding Portal in Workday to see what onboarding items have been assigned to you. Job aids for completing tasks can be found in the Administrative Resource Center (ARC). Items to complete include:
    • State and Federal Withholdings
    • Payment Elections/Direct Deposit
    • Ohio Ethics Code
    • Standards of Employee Conduct (Medical Center only)
    • Retirement Questionnaire and Prior State Service Form
    • Fraud Reporting
    • Position Description
    • Policy Acknowledgments (Graduate Students Only)

Benefits

Form I-9 Employment Verification

  • Go to Workday and complete section 1 of your Form I-9 Employment verification.
    • This must be done on or before your first day of employment.
    • Once complete you will receive an email to schedule your appointment to complete section two. Within the first three days, all new employees are required to complete their I-9 employment verification.
