Orientation Checklist For Managers/Supervisors

The Orientation Checklist for Managers and Supervisors helps you remember all of the components involved in orienting new employees.

NFORMATION TO PROVIDE TO NEW EMPLOYEES:

The most important piece of information you can give a new employee is who he or she can contact with questions about policy, benefits, performance managment, payroll and related questions. Beyond that, there are 6 key pieces of information each employee needs to know:

Am I in a union?
If so, tell where to find the union contract and how to contact his/her union representative.

Is my position considered a Classified Civil Service (CCS) position?
Describe how the CCS Rules apply to the new employee's position.

Is my position considered exempt (salaried) or non-exempt?
Explain overtime rules and provide a copy of timesheet if appropriate.

What is my employee classification?
Tell the new employee his/her classification and the benefits for which the employee is eligible.

How often am I paid?
Give the employee the correct payroll schedule and describe how he/she will receive biweekly or monthly pay.

What is my employee ID number?
Show the new employee where to find it and explain that it may be listed on the BUCKID.

 

INSTRUCTIONS TO PROVIDE TO NEW EMPLOYEES:

Transportation & Parking

Explain to new hire which parking pass he or she is eligible to purchase.

BUCK ID

Inform the new hire whether or not a BUCKID is required. Give him or her information on any special identification cards your department may issue (i.e. Physical Facilities, Medical Center).

New Employee Orientation Sessions

Faculty and some departments have special New Employee Orientation programs. All other staff can attend the university-wide New Employee Orientation. You can find a schedule of orientation dates and more information about the agenda online, and you can call Organization and Human Resource Development to schedule to attend.

Benefits

Refer the new hire to the web for a list of benefit forums and inform him/her that a benefit package will be sent that details benefit eligibility and options. There is a Benefit presentation as part of New Employee Orientation as well.

Suggestions for Creating Orientations provides some helpful tips in creating an orientation specific to your department or unit. You can also consult Organization and Human Resource Development for assistance in planning your own orientation program.

Feel free to download a copy of the president's welcome letter to new employees to use in your orientation or in the packet you provide to new staff.

 

FORMS TO PROVIDE NEW HIRES:

There are several forms/documents that new employees must complete upon employment at the university.

Ohio Ethics Laws
Ohio State faculty and staff are covered by the Ohio Ethics Law for public officials and state employees (Chapter 102 and Section 2921.42 of the Ohio Revised Code). The university must provide each faculty and staff member with a copy of this legislation and obtain written acknowledgement of receipt by signing the Ohio Ethics Law Acknowledgement Form.

Direct Deposit
New hires can elect to have pay deposited directly into a bank account via the Direct Deposit Enrollment Form.

Form W-4 (Employee's Withholding Allowance Certificate)
All Ohio State employees are required to complete a Form W-4 when hired. Employees should also need to review the Form W-4 and make appropriate changes in the event of a major life change, such as an address change, marriage or divorce, death of a spouse, or birth/adoption of a child.

Employment Eligibility Verification (I-9)
Employees must provide verification that they are eligible for employment at OSU on the Form I-9.
